A structured process for running monthly retainer reviews with clients — including what to cover, how to frame utilization, and how to position renewal conversations before the contract end date.
Why Most Retainer Reviews Fail
Most agencies treat the monthly check-in as an obligation rather than a strategic touchpoint. They recap what was done (which the client already knows), skip the ROI conversation (which the client cares about most), and wait until 30 days before contract end to bring up renewal. By that point, the client has already started evaluating alternatives. This SOP flips the sequence.
Before the Meeting
- Pull retainer utilization report: hours or credits used vs. allocated
- List deliverables completed this month with one-line outcome notes
- Identify one moment where your work directly impacted a business metric — even a small one
- Flag any scope creep that needs to be formalized
- If renewal is within 60 days, prepare a brief continuation proposal
Meeting Agenda (30 minutes)
- 5 min: Quick wins — lead with the one impact moment from your prep
- 10 min: What shipped — walk through completed deliverables, share any live results
- 5 min: Utilization review — show hours/credits used vs. allocated, explain any overages
- 5 min: Next 30 days — confirm priorities, flag anything you need from them
- 5 min: Open floor — let them raise anything before you close
The Renewal Conversation
Raise renewal 60 days before contract end, not 30. Frame it as planning ahead, not a sales pitch. Ask: "We're 60 days from contract end — do you want to keep the current scope, adjust it, or expand?" This shifts the conversation from "will you renew?" (binary) to "how do you want to continue?" (collaborative). If they hesitate, that's signal: find out what's not working before the invoice is due.
