AI Agency Client Onboarding Checklist
A standardized checklist for onboarding new AI agency clients — from access provisioning to first-week deliverables. Cuts your setup time in half and eliminates the "we never got that" conversation.
Before Day 1
- Send pre-onboarding questionnaire: current stack, team size, primary contacts, success metrics
- Request tool access: ad accounts, CRM, GA4, social profiles, project management
- Create client workspace in Systemly (or assign to existing org)
- Set up client portal and send invite link
- Document stakeholder map: decision-maker, day-to-day contact, approver for deliverables
Kickoff Call
- Walk through engagement scope and confirm milestone dates
- Establish communication channel (Slack, email, portal comments)
- Set meeting cadence: weekly sync or bi-weekly + async updates?
- Confirm invoice schedule and payment method
- Get verbal confirmation on the first 30-day goal
Week 1
- Audit current stack — log tool names, access status, monthly costs
- Review any existing automations or AI integrations
- Identify top 3 time sinks or manual processes to target first
- Deliver written "current state" summary within 5 business days
- Schedule first deliverable review date
After Week 1
With the baseline documented, every subsequent engagement decision should reference it. Keep the current-state summary pinned in the client record inside Systemly so any team member can get up to speed in under 10 minutes.
